Dear Colleague

CLOSING THE ACCOUNTS FOR THE YEAR ENDING 31 MARCH 2004

As is normal practice at this time of year I am writing to advise on the arrangements for the closure of the 2003-04 financial accounts.

Compliance with the enclosed User Guide will ensure that the accounts are closed smoothly and as early as possible, any discrepancies quickly reconciled and school balances confirmed.

Individual school balances (revenue and capital) have to be reconciled to the central records in order that they can be published as part of the statutory Consistent Financial Reporting (CFR) Return.  This reconciliation task is undertaken each year by our Finance Support section.  Bank Account Type C schools will be notified by    7 June 2004 of whether their school balances agree with the central record or if further work is to take place before reconciliation can be confirmed.  For Bank Account Type A schools, you will be notified of the outcome of this reconciliation no later than the end of the Summer Term, as the records are subject to a bank reconciliation to confirm correct accounting for advances.

Confirming school balances is a priority task for Finance Support during the Summer Term.  It may therefore be necessary, in some instances, to plan school visits around this activity.

I would be pleased if you could share this information with your Finance staff and If further assistance is required, please contact your Finance Support Officer.

Yours sincerely

Kim Robertson
