Subsidised Use of School Premises

Following a thorough review, the subsidised lettings scheme is being amended.

Listed below are the changes that will affect you, they are all effective from 1 September 2010:

  • The new subsidy rates available are 100% and 15%
  • All groups have been asked to re-register. All groups who have been re-registered have been given a new number with a prefix of ASN and a suffix as follows:

    A = 100% subsidy
    C = 0% - A group entitled to hire premises at the subsidised rate but who are not entitled to a subsidy. These are invoiced direct.
    D = 15% subsidy

    Any group that gives you a subsidy number that differs from the above is no longer eligible for a subsidy and should be asked to complete the Application Form for Inclusion on the Subsidy Schedule and return it to us to re-register.

  • A new set of rates has been agreed by Schools Forum and is attached for your information.
  • Key holders - some group leaders have been allowed to be key holders. In certain circumstances this will invalidate your buildings insurance. If you wish any group leaders to be key holders, you must contact Yvonne Bickers for approval.

    STAR ACCOUNTS

    If you are currently using Star Accounts to raise lettings invoices please note that an upgrade to Star Accounts to reflect these changes should be available from the beginning of the Autumn term and will be sent via AVCO with the September download.

    The review involves radical changes to the charging structure and once the upgrade has been completed you will not be able to amend/print any lettings invoice created prior to the upgrade. You must therefore print off all lettings invoices prior to the beginning of the Autumn term and ensure all subsidies that can be claimed as at 31 August 2010 have been included on a subsidy claim. You must wait for the upgrade before raising any invoices for services affected by these changes (Subsidised / NCC Internal Invoices).

    If you have already raised invoices for services that will be affected that will take place after 1 September 2010 please note the following:

  • If they have not yet been paid these must be cancelled. If the invoice includes any as yet unpaid lettings that occur before 1 September 2010, raise a new invoice immediately and raise another invoice for the lettings 1 September onwards, once the upgrade has been completed.
  • If they have been paid/part paid the invoice cannot be cancelled. Further instructions will be sent with the upgrade detailing what is required.
