Pupil Records
Further to MI 162/10 and following discussions with schools, it has become apparent that there are occasions where you may have records relating to a pupil which, for whatever reason, cannot be electronically transferred, such as records for children with SEN.
For any pupil records you have regarding a child that is transferring to another school please follow this process:
Due to the reductions with the Schools Courier service it is even more important that wherever possible schools send pupil records electronically referring to MI 57/10 for guidance. If the information you are sending is unable to be transferred in this way, if possible, scan the item and if secure, email it to the school the pupil is transferring to.
Depending on the sensitivity of the data you are sending, seek alternative means of transferring the information, e.g. could the parents take it to give to the new school?
If you have any pupil records that cannot be transferred using any of these methods then the Schools Courier service can be used but you must follow this procedure, to ensure we have a robust audit trail:
Call the County Hall Post Help Desk on 01603 223555 or email - County Hall Post Helpdesk with the following information:
Make sure the records are securely packaged, as they contain confidential information relating to children.
Clearly mark all of the information that you gave to the County Hall Post Help Desk on the package.
Ensure the package is ready for collection by the schools courier service on your usual collection day.
Please Note: This service is for Pupil Records only. Personal belongings and items such as sports kits etc. should not be sent via this service.
