Online Health & Safety Incident Management System
In mid October the process for reporting and investigating accidents and incidents in NCC will be changing from the current paper based system to an online internet based reporting system. The change to this system will help to ensure that incidents are reported and investigated in a consistent manner across the Authority, give us improved analysis and data gathering capability, and free up Health and Safety Officers to give improved support to managers in their investigations.
As the system is internet based all Headteachers and staff will be able to access the system from any internet enabled computer at work, home or in public areas such as libraries etc. Staff will not need a user name or password to report an incident, but will simply click on the Report an Incident button on the website homepage and following a basic date of birth security check will then be able to fill in details of the incident using fields that are very similar to the ones in the existing paper form. Once the incident form is completed and submitted it is sent to the Headteacher or other nominated person using an email notification, who will then carry out their investigation using online forms and templates within the same system.
Headteachers have had user names created for them using their first name and surname with a dot in-between i.e. john.smith, and a generic password has been assigned which will need to be changed on first entry into the system. The generic password will be manager1 and will have to be changed on first entry into the system. Should Headteachers wish other members of staff to have access permissions sufficient for them to be able to view reports and carry out investigations using the system then details of those persons should be forwarded to the Health & Safety team at the email address below.
Headteachers or other nominated staff members will have the ability to report incidents on the system on behalf of employees who cannot gain access to the internet.
The policies and guidance on Schools PeopleNet will be updated in October to reflect the change over to the new system and will include step by step guides using screenshots of the system in use and links to the system. Further details of the exact date of change over will be published on the Intranet and other available media when available.
