Monthly Pupil Data Collection

A step in the direction of the goals presented in the Government Green paper - ’Every Child Matters’, has been achieved by the LEA and Primary Care Trusts ’PCTs’ agreeing to share data to improve the health care of children. For some time the PCTs have been concerned about the potential loop-holes created by out of date data on the children in school. In response we have agreed to pass on relevant pupil level data we currently hold. However we have also agreed with the PCTs that this could be improved further if the data was collected monthly. We therefore hope that you agree to such a monthly data collection. To minimise the burden we have ensured that the data required is quick and easy to collect and submit.

A benefit of this approach will be that any separate data collections by the PCTs will stop. Even so we appreciate that this will be a net additional administrative burden but, for the reasons explained, we hope it is acceptable. In the longer term, planned developments to Phoenix mean that all such data collections will be possible with no burden on schools, so this is very much an interim measure.

When?

We would like to give you the opportunity of a trial run to see how straight-forward this process is, so we would like the trial submission to be in November 2004  to export September and October 2004 pupil changes files.

After that the submission should be in the 1st week of each working month.

We have arranged for the AVCO system to remind you when a submission is required.

How?

As this data must be handled securely we will be using the Secure Data Transfer system supplied by AVCO – click on http://ictsolutions.norfolk.gov.uk and follow the A-Z of services to Phoenix Support –monthly health return’.

If you do not have access to the AVCO Secure Data Transfer system, the only other alternative is to send it to us on floppy disc to: The MIC, Room B28, Education Dept, County Hall Norwich, NR1 2DL
