Staffing Changes for the Spring Term 2005 

I am writing to request information relating to any changes to contracts at your school for the Spring Term 2005, ie from January 2005 onwards. This information is required by 19th November 2004.

For all temporary appointments, whether it be for extensions to existing contracts or for new starters, it is essential that the end date, together with the reason for the temporary nature of the contract, is given to enable the relevant documentation to be issued. When using the electronic termly reminder, a drop down list is accessible which will help in this respect. 

Current Term 

This section contains all staff within your school whose contracts need to be reviewed this term. 

Staff may be listed for previous terms where information has not been confirmed. 

Future Term’s’

 This list is for reference purposes only.

Appointments 

To be used to notify EPS of new appointments as soon as these are known in school. 

NOTE: An entry must be made in all sections marked with an asterisk ’use n/a if necessary’ or a rejection message will be received. 

Please send paper documentation, ie application form, nature and type of appointment as soon as possible. 

Changes 

Used to notify EPS of changes as these occur ’%, hours changes, leavers etc.’ 

Paper copies of termly reminders will also be provided this term, however use of the online facility, would be appreciated and preferable. If you have any comments or suggestions for improvement these will be greatly received. 

When sending data on line press CONFIRM button, the next screen will allow you to print the data, to send to EPS press SUBMIT. When data has been submitted successfully to EPS a message will appear on screen to confirm this. 

Any instructions initially relayed by telephone will need to be confirmed in writing. May I request that you have the employees payroll number to hand when making any telephone enquiries as this greatly speeds up the enquiry process.

Travel/Overtime/Blue/Lilac/Supply Teaching and Letting Claims 

The deadline for claims is slightly earlier than previous years in order to help us meet the relevant payroll deadline during the xmas/ New Year period. 

Please forward all claims for the period 22nd November 2004 to 10th December 2004 to EPS as soon as possible ’ ideally by first class post please’ after this date. 

Claims for the period 13th December 2004 to 19th January 2005 should be submitted in the usual way 

It would be helpful when posting information if you would ensure the name of the recipient is clearly marked in bold on the front of the envelope. Please note that correspondence should continue to be sent to Education Personnel Services c/o County Hall ’not to Charles House Prince of Wales Road’ as using the latter address will delay post being received. 

If it would be easier to discuss certain matters over the phone, please do not hesitate to call me.  In the meantime I look forward to receiving your completed proforma. 

NOTE:  Please pass this information on to the employee who completes claim forms and/or any other staff affected by this letter to ensure they are made aware of the above information.
