Year End Supply and Travel Dates

SUPPLY TEACHING AND TRAVEL CLAIMS
April 2005
As we start a new financial year we once again need your assistance to meet the specific requirements relating to each type of claim.Supply Teaching Claims
Supply teaching undertaken in the period 21st March -17th April will need to be split on the claim form so that work for 21st - 24th March is shown separately from work for 11th - 18th April. This is to account for the end of the financial year and the Teachers' Pay Award. Claims for the period 20th - 24th March will be paid in May and therefore need sundry credit provisions to transfer costs back to the previous year's budget.
You can help to reduce the amount of queries arising from the claims by ensuring claim forms are fully completed with employee number and coded for payment plus by ensuring they are signed by the authorising officer. Incomplete forms will be returned to the relevant manager, resulting in delayed payment of salary to the teacher.

Travel Claims
Travel and subsistence claims, to be paid in April, must be sent to your authorising officer in good time, to ensure they are received in Education Personnel Services immediately after the 17th April deadline.
To assist the prompt payment of these claims they should be fully completed, particularly with employee numbers, receipts for subsistence and authorised signatory. If receipts for subsistence are not available the amount being claimed can only be paid if the authorising officer signs the form a second time, indicating the authorisation of subsistence without receipts. (This is an audit requirement). If claim forms are received covering several months we will give priority to processing the current month's claim only to avoid other staff being inconvenienced.
Travel claims for the period 19th March - 17th April will need to be split, for end of year purposes, as follows: 19th - 31st March, 1st - 5th April and 6th - 17th April.

Priority for payment will be given to those fully completed claims received by the appropriate deadlines and unfortunately payment for late or incomplete claims will be delayed considerably.
If you are a manager please ensure that colleagues affected by the above, who do not have access to Email/Intranet, are made aware of these deadlines.
