Travel, Subsistence and Overtime Claims

There are changed requirements and a new look to the forms staff use to claim travel and subsistence and support staff use to claim overtime from this month onwards. Please ensure that your staff are fully aware of these new arrangements.

Changes to Mileage Allowances - Fuel (Petrol/Diesel) and VAT Receipts

There is a significant change that will affect the way in which staff make mileage claims which include the need to obtain and submit a VAT receipt and attach it to every claim for mileage allowances. Please click here for detailed guidance for you to print off and distribute to affected staff.

This change is reflected in a new look travel and subsistence form. Hard copies of the forms are currently being printed but in the meantime, click here for a downloadable copy for you to print off and distribute to staff making claims this month.

The new form will require the new payroll reference number which will be shown on all payslips issued from April onwards, although the current payroll number will still be accepted for April claims.

Changes to Claim forms for Payment of Overtime/Additional Hours

Where support staff are employed under contracts of employment and need to claim for work beyond their contracted hours, a new look form is now available and should be used from April onwards.

In addition to the change in the VAT receipt requirement, the new forms are part of the launch of the County Council's new Integrated Human Resources Information System (IHRIS).
