Photocopier & Telephone System Contracts
There are many different suppliers for photocopier and telephone systems who use various methods to try and persuade prospective customers that their products and services are cheaper and better than the next supplier. To assist you, the school, with obtaining best value we advise all schools to use the ESPO approved arrangements. The reason for this is that ESPO approved suppliers have all participated in a competitive tender process that is both fair, transparent and designed to meet the needs of the user. In addition to this, the ESPO contractual arrangements afford the customer a significant measure of protection and peace of mind. The contracts are let on a best value basis and can save you money over the period of time you have a rental contract for either a photocopier or a telephone system.
There are many suppliers that will contact schools, giving the impression that they are part of ESPO, or on a waiting list. There is not a waiting list, each contract goes out to tender and only a few suppliers are selected on best value. Suppliers will also call and offer solutions that are supplied by the approved suppliers, the prices will be a lot more expensive and the contracts will be for a longer period of time.
The suppliers chosen have been checked by ESPO and Norfolk County Council. The prices and services the suppliers provide have been approved so the schools have the most cost-effective solutions.
These above suppliers do not use a dealer network to supply or maintain the equipment. They must supply only from the above ESPO approved suppliers. If the school has a problem/issue with the company, ESPO and ICT Solutions can help and advise. With a non-approved supplier ICT Solutions can help but the process will take a lot longer to resolve and will invariably work out more expensive.
Please see attached a case study of six different schools. Three of the schools have signed contracts with non-approved photocopier suppliers and three schools have signed contracts with non-approved telephone systems suppliers. I am pleased to say that we have been able to help most of the schools in the case studies. There are however, a significant number of other schools that have signed contracts with non-approved suppliers and as a consequence, are struggling to meet the payments, some of which increase as the contract progresses. In addition to this, they are usually receiving appalling service and maintenance. You do not have to sign a contract the same day a supplier visits the school. They should give you time to read the terms and conditions carefully and to make sure the costs and information they have provided on all the forms is correct. When you do receive a quote directly from a supplier, before agreeing and signing the document, the quote and contract must be sent to Leah Fletcher at ICT Solutions, who will check that all the information and costs are correct and that this is the best value photocopier or telephone system for the school.
